Step 1: Meet Your Educator
Before enrolling, families connect with their chosen educator to confirm:
days of care
booked hours (start & finish times)
educator fees and any minimum hours
what the educator supplies
start date
Important to know:
Fees are charged for the booked days and hours reserved for your child.
Booked hours are payable even if your child is absent due to illness, holidays, or other reasons.
Child absences are counted as allowable absence days in line with Child Care Subsidy rules.
Fees are not charged when the educator is unable to provide care, including periods of educator illness or approved leave.
Changes to permanent bookings (days or hours) require a minimum of two (2) weeks’ written notice.
Educators conduct evacuation and lockdown rehearsals every 3 months as part of important safety procedures. Families are welcome to chat with their educator about how these are managed.
Step 2: Claim Child Care Subsidy (CCS) (if you’re eligible)
Important: Please lodge your CCS claim as early as possible.
Delays in claiming may result in you needing to pay full fees until your claim is processed.
If you intend to claim Child Care Subsidy, you must lodge your claim with Services Australia before finalising your enrolment.
You can still submit your enrolment form while your CCS claim is being processed.

Important Information About CCS Processing
CCS is assessed and approved by Services Australia — not by our service.
If your CCS claim is not processed in time for your child’s start date, you will be required to pay full fees until your claim is approved and confirmed.
Once approved, Centrelink can backdate CCS for up to 28 days prior to the date you lodged your claim, provided you were eligible during that time.
Any applicable subsidy will then be applied in accordance with Services Australia timeframes once your enrolment is confirmed and linked correctly.
Step 3: Get Ready to Enrol
The enrolment must be completed by the parent/guardian who is registered with Centrelink for Child Care Subsidy (CCS).
This is essential — the details entered must match Centrelink records exactly for the enrolment and CCS to process correctly.
Please ensure you have:
The correct Centrelink Customer Reference Number (CRN) for the parent claiming CCS
The correct CRN for your child
The exact date of birth recorded with Centrelink (for both parent and child)
If the CRN or date of birth does not match Centrelink records, your enrolment and CCS approval may be delayed.
Have the Following Ready:
Your child’s immunisation record (if applicable)
Your educator’s name
Agreed days and booked hours
Immunisation Requirements
Children can enrol without being immunised.
However, Child Care Subsidy cannot be paid unless immunisation requirements are met and recorded with the Australian Immunisation Register (AIR).
Before You Submit
Please double-check all CRNs and dates of birth before submitting your enrolment.
Even one incorrect digit can delay processing and may result in full fees being charged until the issue is resolved.
Step 4: Enrol Online (Harmony Web)
All enrolments are completed online via Harmony Web.
During enrolment you will:
enter family and child details
upload documents (if applicable)
check that all authorisations and permissions are correct
tick to confirm you have read and agreed to your educator’s fees
submit your enrolment
Step 5: Medical & Legal Information
Before care starts
Please provide, if applicable:
medical management plans
doctor action plans
medication instructions
court or parenting orders affecting collection or access
Medical management plans
Plans must be current and provided before care starts to ensure your child’s safety.
Step 6: Transport, Excursions & Emergency Movement
Important permissions information
As part of the enrolment process, families are asked to provide permissions and authorisations in line with Family Day Care regulations.
Parent authorisation is required for transport, including for:
home environment excursions, and
situations where transport may be required in an emergency (for example, evacuation).
Home environment excursions may involve activities outside the main residence but still within the educator’s property.
Authorising transport does not mean your child will regularly leave the Family Day Care residence.
This authorisation ensures educators can act quickly and safely if transport is ever required to support children’s health, safety, or wellbeing.
Families are encouraged to discuss their preferences with their educator at any time, including if they do not wish their child to leave the Family Day Care residence.
Important note:
If you do not want your child to leave the Family Day Care residence at any time, please let your educator know so this can be planned for safely.
Step 7: Enrolment Confirmation
Once your enrolment is submitted:

you’ll receive a confirmation email from admin@boonahfdc.com.au

Step 8: Set Up Your Parent PIN
If your educator uses Harmony attendance:
you’ll receive an email to create your Parent PIN (PIN tip: PIN emails expire. Contact the office to resend).
Used to:
sign your child in and out
approve attendance
Step 9: Approve Attendance
To receive CCS:
children must be signed in and out accurately
attendance must be approved when prompted
Unapproved attendance may delay CCS payments.
First Day & What to Bring
Common items include:
nappies and wipes (if required)
spare clothes
hat & sun-safe clothing
enclosed shoes
water bottle
food (as arranged with educator)
comfort item if needed
Medications
Must be handed directly to the educator and have a pharmacy label.
